The Coordinator - Event Planning provides support in organizing and and overseeing events planned through Events and Conference Services. The coordinator will assess the clients' needs, negotiate the details of the event arrangements, and facilitate the details of client's events. This position will assist with the set up, tear-down, and inspection of facilities and equipment to ensure client satisfaction, risk mitigation, and protection of physical assets on behalf of the client.
This position will work on-site at Goucher College, one of the nation's most progressive, innovative institutions of higher learning focused on liberal arts education. Located in Baltimore, Maryland, Goucher is a beautiful tight knit campus community set inside a major metropolitan area.
Essential Functions: - Oversee the event planning, coordination, and execution for clients; Lead client site visits and serve as onsite event host as needed
- Provide direction to part-time staff, colleagues, and vendors during event set up, administration, and tear-down
- Coordinate and interact with other staff related for event coordination, set up and tear-down, and adjustments to maintain customer service standards and successful event execution
- Coordinate internal resources as needed and maintain positive working relationships with colleagues, partners, and vendors
- Responds to event inquiries by phone and/or email and forward leads appropriately for follow up
- Assist with event set up, facility and equipment inspections, event execution, and tear-down
- Use scheduling software to maintain up to date building schedule, event reservations, and necessary resources
- Manage existing and develop new client relationships to grow rental business
- Create quotes for event rentals
Site-Specific Responsibilities: - Serve as the team's Marketing Liaison by maintaining the client contact list in Constant Contact and managing various accounts such as the Unique Venues, Wedding Wire, and The Knot
- Participate as needed in the planning, execution, and on-site coordinator for Commencement and other college events.
Staff Supervision: - Hires, supervises, and schedules part-time event support staff
- Responsible for approving timecards and preparing necessary documents for payroll processing
Education and Experience - Bachelor's degree or 4 or more years of work experience
- Demonstrated experience in special event operations, event planning, or customer service related field
